The Role
Our Asset Care team are seeking an experienced Administrator to be based in our Canning Vale Office. You will be responsible for high-level administrative and coordination services, that will suite an experience administrator with strong attention to detail and organisational skills.

Key Responsibilities
- Establish and maintain client accounts, ensuring all required documentation is completed and approved prior to invoicing
- Prepare and issue accurate invoices, cross-checking against purchase orders, rates, and supporting documentation
- Resolve invoicing discrepancies with internal teams and clients in a timely manner
- Complete and submit client portal requirements, ensuring compliance with client specifications and deadlines
- Maintain accurate records of submissions and follow up on outstanding approvals or queries
- Assist with client questionnaires, compliance documentation, and reporting requirements
- Coordinate site access applications and ensure inductions, training, and compliance requirements are current
- Monitor expiries and manage renewals to avoid access disruptions
- Liaise with site contacts and internal teams to resolve access and compliance issues
- Receipt purchase orders and accurately code and process supplier invoices
- Ensure invoices are matched to purchase orders and investigate discrepancies
- Support timely invoice processing to meet payment terms and maintain supplier relationships
- Provide general administrative support across operations, finance, and other departments
- Assist with document control, data entry, record keeping, and coordination of meetings, travel, and office requirements
The successful applicant will ideally have:
- Previous experience in a similar role
- Demonstrated ability to meet deadlines.
- Strong communication and people skills
- High attention to detail
- Strong computer and systems skills and knowledge, specifically Word, Excel and Dynamics
